We provide retained search services and hiring advisory work to organizations in the legal sector. For the purposes of this policy, Kindrid is the data controller for personal data collected through this website and through our engagement processes.

This policy is governed by the Personal Data (Privacy) Ordinance (Cap. 486) of Hong Kong ("PDPO"). References to supervisory authority refer to the Office of the Privacy Commissioner for Personal Data, Hong Kong.

2.3 Candidates

When we engage with you as a candidate in connection with a search engagement, we collect professional information including your current role, employment history, qualifications, compensation expectations, and the notes from our assessment conversations. We collect this information directly from you, from publicly available professional profiles, and from referees with your permission.

2.4 Clients and professional contacts

We collect contact and professional details for client organizations and the individuals within them with whom we work. This includes names, job titles, email addresses, and telephone numbers.

3. Legal Basis for Processing

• Contractual necessity — processing required to deliver a service you have engaged us to perform
• Legitimate interests — maintaining professional contacts and communicating relevant updates to people we have worked with
• Consent — for marketing communications and for sharing candidate data with client organizations

We do not sell personal data to third parties. We do not use personal data for automated decision-making.

5. Data Sharing

Candidate data is not shared with any third party — including client organizations — without the candidate's explicit permission. That permission is obtained before sharing and is specific to each sharing event.

We may share data with service providers who support our operations (such as cloud storage and email services) under appropriate data processing agreements. These providers are not permitted to use the data for their own purposes.

We may disclose data where required by Hong Kong law or by a valid court order.

6. Data Retention

• Candidate files — retained for three years from the date of last contact, unless you request earlier deletion
• Client engagement records — retained for seven years in line with standard commercial record-keeping practice
• Website enquiry data — retained for twelve months
• Analytics data — retained for twenty-four months

7. Data Security

Candidate and client data is stored on encrypted servers with access controls limited to Kindrid staff who need it to perform their roles. We conduct periodic reviews of our data handling practices. In the event of a data breach affecting personal data, we will notify affected individuals and the Privacy Commissioner as required under the PDPO.
